At Dorvena Casino Hotel, we understand that plans can change. This Cancellation Policy outlines our procedures regarding reservation modifications, cancellations, and refunds. We strive to maintain a fair and transparent policy while balancing our operational needs.
Please read this policy carefully before making a reservation. By booking with Dorvena Casino Hotel, you agree to the terms outlined in this policy.
1. Standard Room Reservations
1.1 Flexible Rate
For reservations made at our Flexible Rate:
- Cancellation: Free cancellation until 3:00 PM (local hotel time) 48 hours prior to the day of arrival.
- Late Cancellation: Cancellations made less than 48 hours before arrival will incur a charge equal to one night's stay plus applicable taxes.
- No-Show: If you do not arrive on your scheduled check-in date without prior notice, you will be charged for one night's stay plus applicable taxes, and the remainder of the reservation will be cancelled.
1.2 Advance Purchase Rate
For reservations made at our Advance Purchase Rate (discounted, prepaid rate):
- Payment: Full prepayment is required at the time of booking.
- Cancellation: Non-refundable, non-changeable, and non-transferable.
- Exceptions: In cases of verified force majeure (as defined in Section 5), we may offer a property credit valid for 12 months from the original booking date.
1.3 Seasonal and Special Event Periods
During high-demand periods (major holidays, local events, and peak seasons):
- Cancellation: Free cancellation until 3:00 PM (local hotel time) 7 days prior to the day of arrival.
- Late Cancellation: Cancellations made less than 7 days before arrival will incur a charge equal to 50% of the total reservation value.
- No-Show: If you do not arrive on your scheduled check-in date without prior notice, you will be charged for the entire reservation.
Special event periods will be clearly identified during the booking process.
2. Suite and Premium Room Reservations
2.1 Executive Suites and Premium Rooms
For Executive Suites and Premium Rooms:
- Deposit: A deposit equal to one night's stay is required at the time of booking.
- Cancellation: Free cancellation until 3:00 PM (local hotel time) 7 days prior to the day of arrival with full refund of deposit.
- Late Cancellation: Cancellations made less than 7 days before arrival will forfeit the one-night deposit.
- No-Show: If you do not arrive on your scheduled check-in date without prior notice, you will be charged for the entire reservation.
2.2 Presidential and Signature Suites
For our most exclusive accommodations:
- Deposit: A deposit equal to 50% of the total reservation value is required at the time of booking.
- Cancellation: Free cancellation until 3:00 PM (local hotel time) 14 days prior to the day of arrival with full refund of deposit.
- Late Cancellation: Cancellations made less than 14 days but more than 7 days before arrival will forfeit 50% of the deposit.
- Very Late Cancellation: Cancellations made less than 7 days before arrival will forfeit the entire deposit.
- No-Show: If you do not arrive on your scheduled check-in date without prior notice, you will be charged for the entire reservation.
3. Group Bookings and Events
3.1 Group Room Blocks (10+ Rooms)
For group bookings of 10 or more rooms:
- Deposit: A non-refundable deposit of 25% of the total group booking value is required to confirm the reservation.
- Payment Schedule:
- An additional 25% is due 90 days prior to arrival
- The remaining 50% is due 30 days prior to arrival
- Cancellation:
- Cancellations made more than 90 days prior to arrival forfeit the initial 25% deposit
- Cancellations made between 90 and 30 days prior to arrival forfeit 50% of the total booking value
- Cancellations made less than 30 days prior to arrival forfeit 100% of the total booking value
- Room Reduction: Reduction in the number of rooms within a group booking is subject to the same cancellation terms as above.
Group bookings are subject to a separate contract with specific terms and conditions.
3.2 Events and Function Spaces
For events and function space bookings:
- Deposit: A non-refundable deposit of 30% of the total event cost is required to confirm the booking.
- Payment Schedule:
- An additional 30% is due 60 days prior to the event
- The remaining 40% is due 14 days prior to the event
- Cancellation:
- Cancellations made more than 60 days prior to the event forfeit the initial 30% deposit
- Cancellations made between 60 and 14 days prior to the event forfeit 60% of the total event cost
- Cancellations made less than 14 days prior to the event forfeit 100% of the total event cost
Event bookings are subject to a separate contract with specific terms and conditions.
4. Diamond Club Member Benefits
Diamond Club members enjoy enhanced cancellation privileges based on their tier status:
4.1 Gold Tier
- Extended cancellation window: Free cancellation until 3:00 PM (local hotel time) 24 hours prior to the day of arrival for standard room reservations.
4.2 Platinum Tier
- Extended cancellation window: Free cancellation until 6:00 PM (local hotel time) on the day of arrival for standard room reservations.
- Extended cancellation window for suites: Free cancellation until 3:00 PM (local hotel time) 72 hours prior to the day of arrival.
4.3 Black Tier
- Extended cancellation window: Free cancellation until 11:59 PM (local hotel time) on the day of arrival for standard room reservations.
- Extended cancellation window for suites: Free cancellation until 3:00 PM (local hotel time) 48 hours prior to the day of arrival.
- One complimentary cancellation per calendar year, regardless of timing.
Diamond Club benefits do not apply to Advance Purchase Rate bookings, group bookings, or during special event periods, unless explicitly stated.
5. Force Majeure and Extenuating Circumstances
In cases of force majeure or extenuating circumstances that prevent a guest from traveling, we may, at our discretion, offer more flexible cancellation terms or future stay credits.
Force majeure circumstances include, but are not limited to:
- Natural disasters or severe weather conditions affecting the hotel location or guest's place of departure
- Government travel restrictions or advisories
- Serious illness or injury requiring hospitalization (documentation may be required)
- Death in the immediate family (documentation may be required)
Requests for cancellation due to force majeure must be submitted in writing with supporting documentation to [email protected] as soon as possible.
6. Modifications to Existing Reservations
6.1 Date Changes
Changes to reservation dates are subject to availability and potential rate differences:
- Standard Rate Bookings: Date changes made outside the cancellation period (as defined in Section 1) will not incur penalties, but rate differences may apply.
- Advance Purchase Rate Bookings: Date changes are not permitted. You will need to cancel (non-refundable) and make a new reservation.
6.2 Room Type Changes
Changes to room types are subject to availability:
- Upgrades: Room upgrades will require payment of the rate difference.
- Downgrades: Room downgrades made outside the cancellation period will be refunded the rate difference.
6.3 Length of Stay Changes
- Extending Your Stay: Extensions are subject to availability and current rates.
- Shortening Your Stay: Reducing the length of stay is considered a partial cancellation and is subject to the cancellation policy as outlined in Sections 1-3.
7. Early Departure
If you check out prior to your scheduled departure date, you will be charged an early departure fee equivalent to one night's stay, unless notice is provided to the front desk by 12:00 PM the day before departure.
Diamond Club Platinum and Black tier members are exempt from early departure fees.
8. Refund Processing
When a refund is due according to our cancellation policy:
- Refunds will be processed to the original form of payment.
- Credit card refunds typically appear within 5-10 business days, depending on your card issuer.
- Alternative refund methods may be arranged in special circumstances by contacting our reservations team.
9. How to Cancel or Modify a Reservation
You can cancel or modify your reservation through the following methods:
- Online: Through your confirmation email link or by logging into your Dorvena account

- Email: Send your request to [email protected] with your reservation number
We recommend cancelling or modifying online for immediate confirmation. All cancellations should be made according to the timeframes specified in this policy to avoid penalties.
10. Policy Changes
Dorvena Casino Hotel reserves the right to modify or update this Cancellation Policy at any time. Any changes will apply to reservations made after the policy update. Reservations made prior to policy changes will be subject to the policy in effect at the time of booking.
